Registration

 

On-line Registration and payment is preferred. Your registration payment will be processed through a secure web-based credit card payment system (SSL encrypted data transfer). All registrations will be handled by Ms. Stamatia Gika of MeetingPlanner.gr (the Conference’s management company). Please proceed with the online registration following the link below:

Important Notice

  • For each paper to be included in the Conference proceedings, at least one author must register by March 3, 2008, at the regular rate.
  • Each registration may cover one (1) paper co-authored by the registrant.
  • For every additional paper an additional fee of 100 € should be paid.

Participation of accompanying persons in the various social events of the conference will be available at an extra cost.

Registration Information

  • To be eligible for the early registration fee, payment of registration must have been received by MeetingPlanner.gr, by March 3, 2008.
    Registration payments after that date will be charged with the late registration fee.
  • Students should be prepared to show their student identification card at the Conference registration desk.
  • Registration by email or phone will not be accepted.

Your payment must be completed (your bank transfer must have been deposited in the Meeting Planner’s bank account or your credit card payment received by MeetingPlanner.gr) by March 3, 2008 for each paper to be included in the proceedings and by March 3, 2008 for the early registration rate to apply.

Registration Information

You may submit your registration either on-line or by fax, no later than Monday, May 5, 2008. After this date, only on-site registration is possible.

Registration by Fax is available for those who can not register on line. Please fill in the Registration Form , with your credit card or other payment information and send it by fax to: +30 2610 991 945.

Registration by Mail (mail and payment should be received by the corresponding deadline) is possible, using the Registration Form.

Attention

  • Each attendee must register separately.
  • Receipts will be given on site. No invoices will be sent in advance.
  • Upon receiving your complete registration application and respective payment(s), the registration desk will email you a confirmation letter, including your registration number. You must print the official confirmation of registration email and bring it with you to the on-site registration desk!

Payment Fees


Registration will not be considered until full payment is received.
Acceptable methods of payment are:

  • Credit Card (Strongly Recommended)
  • If you are unable to pay by credit card, you may pay by bank transfer, but an extra 20€ are required to cover administration handling costs. For safety reasons, the bank account details will be sent to you by email. You need to indicate the bank transfer method on your registration form first!
  • All payments must be made in Euro.
  • Cash payments will be accepted only on-site. Credit card payment will also be available on-site. No other type of payment will be accepted.

Cancellations


In the unfortunate event that a registration must be cancelled, a refund of all prepaid fees will be made, excluding an administration charge of € 100, provided that advance written notification is submitted by April 7, 2008. No refunds will be made for cancellations received afterwards. All refunds will be handled within 30 days after the end of the conference.

Additional Registration Application


Those who are already registered, but would like to get additional items (i.e. proceedings, welcome reception tickets, banquet tickets), must use an additional registration form.

The additional registration application can not be submitted on-line. You must fax (+30 2610 991 945) the additional registration form found at the end of this page. Confirmation will be sent via email, after proof of payment has been received. Please remember to print and bring this confirmation letter with you to the registration desk in order to collect your tickets/proceedings.

Letters of Invitation


Delegates requiring a letter of invitation in order to attend the Conference may write to the Registration Desk (icvs08@meetingplanner.gr) specifying the necessary details. Please note that this procedure aims to assist delegates who need to obtain a visa or permission to attend the Conference. It is not an official invitation covering fees and other expenses and does not imply any financial support from the Conference.

Payment for registration fees must have been finalized, before requesting an invitation letter. Please make sure that in your request to the Registration Desk for an invitation letter you include:

  • Name, postal address, and a valid email address,
  • Paper number, if you are presenting a paper,
  • The words "invitation letter request" in the subject field of your email request.

The visa letters will be emailed in a printable coloured pdf format and will state only the facts:

  • Conference title, dates, and location,
  • That the requester has paid the required registration fee in full,
  • If the requester is a committee member, speaker, or presenter.

Attendees who need visas are advised to apply for it to the respective consulate/embassy no later than 3 months prior to the Conference. For visa information, please visit the Greek Ministry of Foreign Affairs

Personal Insurance


The organizers cannot be held responsible for accidents to Conference participants or accompanying persons, for damage or loss of their personal property, or for cancellation expenses, regardless of cause. Participants should therefore, make their own insurance arrangements. Please consult with your local insurance sources regarding coverage.
